Choose the portal model that matches the task

A reusable vendor portal is appropriate when suppliers must maintain profiles, upload compliance records, participate in sourcing, submit invoices, inspect payments, or manage many transactions. For a single acknowledgment request, that login can add support work and abandonment. Pacteva sends an expiring token tied to one order and supplier contact, keeping the external task small while buyers retain an authenticated workspace.

Make every line answerable

The response view presents the reviewed order and asks the vendor to accept, decline, or propose a change for each required line. Proposed dates, quantities, or prices remain proposals until an authorized buyer decides. A note field preserves necessary context without allowing prose to replace the structured response.

Preserve a safe external boundary

A token holder should not browse other suppliers, orders, reports, or workspace settings. Pacteva scopes the public view to the assigned order, records view and submission events, and lets a buyer revoke and issue a replacement link. The original PO stays unchanged when the vendor proposes a difference.

Compare adoption cost, not only license cost

Portal evaluation should include vendor invitations, password recovery, training, support ownership, accessibility, mobile behavior, revocation, and incomplete responses. Pacteva avoids supplier-seat charges on paid plans and reduces setup, but it intentionally omits broader self-service functions such as invoice upload, catalog maintenance, payment status, and vendor-master editing.

Validate the workflow with one real purchase order

Before buying or replacing software, run one representative multi-line PO from reviewed source through supplier response and buyer resolution. Include at least one accepted line, one proposed date or quantity change, and one delivery or reminder edge case. Confirm that every participant can identify the current owner and next action, that the original order remains unchanged, and that the final commitment can be exported and traced to its response and decision. Also verify the supplier experience on a normal phone and desktop browser, revoke and reissue a response link, inspect a failed delivery, and test the role boundary with a non-owner buyer. This evidence is more useful than a feature checklist because it exposes adoption friction, hidden authority, and incomplete system boundaries before the workflow reaches production volume.

Keep source, proposal, decision, and commitment distinct

Pacteva records supplier responses and authorized buyer decisions. It does not silently alter the reviewed purchase order or claim an ERP changed unless a configured write-back is verified. Requisitions, budgets, receipts, invoices, payments, inventory, and shipping remain in their systems of record.

Is a vendor login required?

No. The vendor receives a secure, expiring link scoped to the assigned purchase order.

Can vendors see other orders?

Not through the order-scoped response link. It reveals only the assigned order context.

Does the portal support invoices or payment status?

No. Pacteva focuses on PO acknowledgment and commitment. Invoices and payments remain in the accounting or procurement system.
